Office Manager
Squared Financial is seeking a talented and experienced Office Manager to join our growing team.
Responsibilities
- Maintain reception area, direct visitors, and manage guests / employees access in the office
- Manage the office diary, co-ordinate, and schedule appointments / meetings as needed, ensuring all parties are kept well informed
- Manage office supplies (stationary, groceries, equipment, toiletries)
- Manage space planning within the office (office renovations/ moving of departments, office equipment, drawing office layout & requesting offers from a range of suppliers)
- Manage conference rooms and ensuring correct set up and resources
- Manage insurances and required licenses (including Fire and First Aid)
- Establish internal office procedures, policies, operations and communicate them effectively to employees and visitors
- Support HR (employee birthdays, company events, employee culture, onboarding)
- Monitor budgets (including tracking expenditures and providing reports)
- Meet with special interest groups or individuals on behalf of executives
- Provide assistance to the Executive related to high end complex tasks
- Assist with internal projects
- Establish a highly organized filing system, correspondence, and other records
- Provide on-going administrative support to office staff as needed
- Receive all internal & external mail, sort and distribute to concerned official accordingly
- Distribute professional correspondence and memoranda as assigned and or respond when deemed necessary
- Organize all necessary travel arrangements for management, employees and or clients (flight bookings, hotel accommodation, transport, visa entries etc)
- Point of contact with the landlord and third-party vendors (managing contracts, invoices etc)
- Ensure that overall office management reflects and displays the company’s corporate image & values
- Performs wide variety responsible and confidential administrative and secretarial duties with diligence and care
- Assist the CEO and management with business and personal related matters
- Set up entry / parking cards for employees
Experience and Qualifications
- At least 2 years’ experience in a similar role
- Experience in travel bookings and diary management
- Excellent written and verbal communication in English and Greek
- Competent organizational and multi-tasking skills
- Familiarity with office organization and optimization techniques
- Familiarity with building and company legislation and third party vendors
- Fully proficient with MS Office
- Display both integrity and professionalism
- Accuracy, reliability, and accountability
- Ability to be in touch when there are urgent issues
- Commitment to help people and provide the highest level of support
